1 Hadleigh Town Council’s recordings of the meetings, including any audio or video recordings
2 Agendas, draft agendas and final agendas
3 Draft, amended and final minutes, including any earlier versions
4 Emails between councillors, the Clerk and/or other Council staff concerning the meetings
5 Other electronic communications concerning the meetings, including text messages, WhatsApp messages or other messaging platforms where used for Council business
6 Communications concerning any change to the status, date, time or location of a meeting, including cancellation, postponement or rearrangement
7 Communications concerning the content, conduct or proposed running of the meetings, including reasons recorded for any departure from the normal process
8 Records of telephone calls or conversations concerning the meetings, including any contemporaneous notes or records made of those conversations
9 Contemporaneous notes made during or in connection with the meetings, including informal notes, working notes or notes retained by the staff
10 Notes or records made for the purposes of handover, follow-up or enabling another councillor or member of staff to deal with an issue raised in connection with the meetings
11 Any other recorded information documenting or explaining changes to the normal arrangements, procedures or handling of these Planning Committee meetings
12 Records documenting the decision-making trail in relation to the meetings, including discussions, instructions, decisions, approvals or other communications that led to changes in the meetings, their arrangements, their content, the preparation or amendment of agendas or minutes, or the way matters raised at the meetings were subsequently handled.
